Q: Email Scheduling Calendar Template
/ InspirED School MarketersDo you have or recommend a communications content scheduling system and calendar format? I am looking for a solution to keep track of email communications for several departments in one spreadsheet for admissions, family communications, advancement, and parents' association. I have a social media calendar for keeping track of that but that format will not work for this. Any suggested templates or ideas?
Thank you! Lisa Brairton, Director of Marketing and Communications, Sacred Heart Academy

Good question, Lisa. Without knowing your email system, I cannot exactly make a pure recommendation, but if you are using a usual tool (such as Constant Contact, Mailchimp, or even Gmail) you could look at setting up a zap via Zapier.com.
Zapier.com is a tool that allows you to move content between software as a service (SaaS) tools. So, if for example, if you are using Mailchimp and Gmail, you could trigger it to move every mail blast that is sent out to a row on a Google Sheet with details like subject line, date sent, sender, etc.
You can then set up Google Sheets to deliver that sheet to you as a CSV on a regular basis (nightly, weekly, etc.)
I hope that helps.

I second the idea of checking out Zapier.
I am not sure what you mean by tracking email communication, but if it means you are fielding content requests from different stakeholders, you could also create a Google Form, which automatically puts information into a spreadsheet.
You would need to "train" these groups to use this form instead of using email to share information, but once they get used to it, this could streamline the process (if I am understanding your question correctly).
